Accounting Supervisor

LINES OF AUTHORITY: This position is supervised by the Director of Operations (DOO). This position supervises the Accounting Specialist/Payroll, the Accounting Specialist/Accounts Payable, and the Administrative Assistant for the Finance Department.

POSITION SUMMARY: Supports payroll processes and is responsible for all payroll reporting to the DOO and outside entities as required.  Supervises the Payroll Accounting Specialist, the General Accounting Assistant  Accounts Payable, the Finance Administrative Assistant, and coordinates all payments for all MMHC business operations.  Responsible for day-to-day financial operations of Clinic, including preparation of financial reports, budget monitoring, and coordination of internal and external financial audits.

PRINCIPAL DUTIES/RESPONSIBILITIES:

  1. Directs the Clinic's payroll processes and special payroll runs as requested.
  2. Reviews all accounts payable (A/P) check runs on a weekly basis.
  3. Coordinates the Accounting Specialist duties with the DOO.
  4. Reviews monthly reconciliation of A/P balances.
  5. Reviews the monthly Orion Health Insurance Pool billing for all health benefits.
  6. Reviews the pension payment each pay period.
  7. Reconciles annually the pension eligibility report.
  8. Assists the DOO with the closing of the month, including generating accrued expense entries for the MPIS.
  9. Responsible to assist with Worker's Compensation, Orion Health Insurance Pool and other regulator audits.
  10. Prepares all Department of Labor reports and financial reports as required.
  11. Reviews payroll publications regarding regulations and procedures to ensure compliance with Federal and State regulations.
  12. Performs all A/P and payroll duties, in the absence of staff, as needed.
  13. Participate as a member of the Operations Services Committee. 
  14. Assists Director of Operations with purchasing processes and budgetary monitoring as needed. Investigates and makes recommendations to DOO regarding major purchases.
  15. Assists with preparation of the Clinic's operational and capital budgets annually.
  16. Directly supervises payroll, accounts payable, accounts receivable, and financial administrative support staff and workflow.
  17. Coordinates internal and external financial audits.
  18. Provides customer service to internal and external customers and stakeholders. 
  19. Participates in the Performance Improvement processes in the Clinic.
  20. The employee must work well under pressure meeting multiple and sometimes conflicting deadlines.
  21. The employee shall, at all times, demonstrate cooperative behavior with colleagues and supervisors.
  22. Performs other duties as assigned.

PRIMARY CONTACTS:

  • Daily interaction with employees at all levels of the organization.
  • Moderate interaction with vendors.

POSITION REQUISITES:

Qualification and Experience

Required:

  • Minimum High School Diploma or General Education Diploma (GED).
  • Three years' experience in bookkeeping with at least two years' direct experience working with payroll.

Preferred:

  • Payroll Certification.

Skills/Abilities

Required:

  • Computer keyboard.
  • 10-key by touch.
  • Basic computers, knowledge and familiar with windows application/environment.

Preferred:

  • Word processing and spread sheet experience.
  • Experience with integrated accounting system software.
  • Two years of computerized payroll system.

WORKING CONDITIONS:

Physical Requirements:

  • Able to sit for extended periods of time.
  • Frequent reaching and occasional kneeling.
  • Able to key for extended period of time.

Equipment Operation:

  • Computer, telephone, facsimile machine,  10-key, shredder, copier

Environmental Conditions:

  • Office environment with air-conditioner/heat (Cathode Ray Tube ?CRT? exposure).
