Administrative Assistant to ACT

LINES OF AUTHORITY: This position is supervised by the SMI Clinical Director.

POSITION SUMMARY:  This position provides clerical and administrative support to the SMI Program, primarily, and is expected to comply with the minimum standards of production as established by Operations.

PRINCIPLE DUTIES/RESPONSIBILITIES:

  1. Prepares and distributes ACT team materials and organizes and prepares ACT team reports, meeting schedules, agendas and necessary minutes. 
  2. Prepares and distributes any relevant reports specific to clinical leadership as directed.
  3. Coordinates court-ordered treatment functions and reporting, including coordination and tracking activities with clinical supervisors, court staff, Clinic attorney, and any other relevant parties.   
  4. Provides clerical and administrative support and assistance to ACT team members.
  5. Provides additional clerical support for SMI Program Director (and other Clinical Directors) as assigned. 
  6. Provides support for quarterly meetings and paraprofessional summits, including coordinating computer resources, sign-in sheets, and meals as requested.
  7. Ensures compliance with EPSDT tracking, Special Assistance Matrix and Office of Human Rights portal, monthly residential treatment discharge planning matrix as required. Participates in the agency Performance Improvement Processes.
  8. Provides customer service to internal and external customers and stakeholders.
  9. The employee must work well under pressure meeting multiple and sometimes conflicting deadlines.  The employee shall, at all times, demonstrate cooperative behavior with colleagues and supervisors.

POSITION REQUISITES:

Qualifications and Experience

Required:

  • High School Diploma or GED
  • 21 years of age
  • Must have valid Arizona driver's license and insurance clearance to operate clinic vehicles, if applicable

Preferred:

  • AA or higher with strength in office procedures
  • At least 2 years experience in professional setting where confidentiality was required

Skills/Abilities

Required:

  • Computer literate (able to effectively utilize Word, Excel and Outlook programs)
  • Type minimum 50 WPM
  • Excellent verbal and written skills
  • Ability to move between multiple and simultaneous projects/tasks

WORKING CONDITIONS:

Physical Requirements:

  • Able to sit and stand for extended periods of time

Equipment Operation:

  • Computer, copy machine, fax machine, phone and laser printer

Environmental Conditions:

  • Air conditioned and/or heated office setting
