Administration Support Assistants Supervisor

LINES OF AUTHORITY: This position is supervised by the Customer Service Manager or as designated by the Operations Director.  This position supervises the Administrative Support Assistants.

POSITION SUMMARY: The purpose of this position is to direct and monitor customer service function in outpatient clinic.

PRINCIPAL DUTIES/RESPONSIBILITIES:

  1. Monitors operation and maintenance of offices, facility and equipment, and coordinates with the Facilities Manager, Manager of Information Systems and the Clinical Site Supervisor to address issues and improve work environmental conditions.

  2. Responsible for the oversight of cash procedures ensuring cash receipts are prepared correctly and petty cash fund is used and reconciled as required by policy.

  3. Supervises front office staff which includes coordinating and prioritizing work activities, training direct reports, and evaluating employee performance. Provides customer service to internal and external customers.

  4. Participates in the Performance Improvement Processes in the Clinic.

  5. Travel among all sites on an as needed basis.

  6. The employee must work well under pressure meeting multiple and sometimes conflicting deadlines.  The employee shall, at all times, demonstrate cooperative behavior with colleagues and supervisors.

  7. Resolves complaints and answers questions of customers regarding services at Mohave Mental Health Clinics.

  8. Recommends, hires and discharges of Administrative Support Assistants and Transporters.

  9. Communicates with other departments and management to resolve conflict, improve processes and  expedite work.

  10. Plans and prepares work schedules, according to budgets and workloads.

  11. Performs other duties as assigned.

    POSITION REQUISITES:

    Qualifications and Experience

    Required:

  • High school diploma or GED

  • Age 21 or older

  • Three to five years of supervisory or office manager experience in a business with high customer volume.

WORKING CONDITIONS:

Physical Requirements

  • Able to sit for extended periods of time.

  • Frequent reaching and occasional kneeling.

  • Occasional lifting up to 30 lbs.

Equipment Operation

  • Data entry, 10 key, copy machine, fax, computer, telephone, shredder, postage scale.

Environmental Conditions

  • Air conditioned and/or heated office setting.
